Terms & Conditions for AI Envisage Limited

PLEASE READ THESE TERMS CAREFULLY BEFORE USING THE AI ENVISAGE SERVICE.
These Terms & Conditions govern your access to and use of the AI Envisage platform, operated by AI Envisage Limited (“we”, “us”, or “our”). By accessing or using the Service, you agree to be bound by these Terms. If you do not agree, do not use the Service.
1. Definitions
- “Service”: The AI voice agent platform delivering Practice Mode and Support Mode via voice call or SMS.
- “Client”: An organisation that subscribes to AI Envisage for its employees.
- “User”: An employee of a Client who uses the Service.
- “Knowledge Base”: Documents provided by a Client to power AI responses.
- “ElevenLabs”: Third-party provider of voice synthesis (ElevenLabs Terms of Service (non-EEA)).
- “Twilio”: Third-party provider of telephony infrastructure (Twilio Terms of Service | Twilio).
2. Eligibility
The Service is for business use only. You represent that:
- You are at least 18 and authorised to bind your organisation.
- Your use complies with applicable laws and your employer’s policies.
- You will not use the Service unlawfully or for harmful purposes.
3. Service Description
AI Envisage provides:
- Practice Mode: Voice roleplay for skill development.
- Support Mode: Instant knowledge retrieval during live work.
Delivered via phone number or SMS — no app, no login.
Important: The Service is an AI-powered decision-support tool. Responses are generated from your Knowledge Base and public information. They may not be exhaustive, legally binding, or error-free. Users must verify critical information independently.
4. Acceptable Use
You agree not to:
- Submit confidential customer data, personal health info, or privileged content.
- Use the Service to harass, defraud, or harm others.
- Reverse-engineer the platform or extract underlying models.
- Generate defamatory, discriminatory, or infringing content.
Clients are responsible for their Users’ compliance.
5. Content Ownership
- Client Content: You retain all rights to materials you provide. You grant us a limited licence to process it solely to deliver the Service.
- AI Responses: Outputs are derived from your Content and public knowledge. We claim no ownership.
- No Training on Your Data: Your Content and interactions are never used to train public AI models or improve services for other clients.
6. Third-Party Services
The Service relies on:
- ElevenLabs for voice synthesis (subject to their Terms).
- Twilio for telephony (subject to Twilio Terms of Service | Twilio).
We are not liable for their performance, availability, or data practices beyond our contractual agreements.
7. Fees and Payment
- Fees are non-refundable except as required by law.
- We may adjust fees with 30 days’ notice.
- Late payments may result in Service suspension.
8. Intellectual Property
- Our IP: All platform software, workflows, and features are owned by us.
- Your IP: You retain ownership of your Content and brand assets.
- Feedback: Suggestions you provide may be used to improve the Service without obligation.
9. Disclaimers
THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE” WITHOUT WARRANTIES OF ANY KIND. WE DISCLAIM ALL IMPLIED WARRANTIES, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.
We do not guarantee the Service will be uninterrupted, error-free, secure, or that AI responses will be accurate or legally binding. Users remain responsible for final decisions and compliance.
10. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW:
- WE SHALL NOT BE LIABLE FOR INDIRECT, INCIDENTAL, OR CONSEQUENTIAL DAMAGES.
- OUR TOTAL LIABILITY SHALL NOT EXCEED THE FEES PAID BY YOU IN THE TWELVE (12) MONTHS PRECEDING THE CLAIM.
These limitations apply regardless of legal theory (contract, tort, etc.).
11. Indemnification
You agree to indemnify us against claims arising from:
- Your breach of these Terms.
- Your Content or User actions.
- Your violation of third-party rights or laws.
12. Term and Termination
- You may stop using the Service at any time.
- We may suspend access for breach, non-payment, or security reasons.
- Upon termination, your Content will be deleted in line with our data retention practices, details available in our Privacy Policy and on request.
13. Governing Law
These Terms are governed by the laws of England and Wales. Disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
14. Changes
We may update these Terms. Material changes will be notified via email or in-Service notice at least 30 days in advance.

AI Envisage Limited (“we”, “us”) operates an AI colleague platform delivered via voice/SMS. This Policy explains how we handle your information in compliance with UK GDPR and the Data Protection Act 2018.
1. Information We Collect
1.1 Information You Provide
- Account Info: Name, email, organisation (if registering).
- Voice/SMS Input: Spoken or text queries processed in real-time to generate responses.
- Knowledge Base: Internal documents (e.g., playbooks, pricing sheets) provided by Clients.
We store conversation data for a limited period, not indefinitely, and never train public AI models on it. Voice and text queries are processed to generate real-time responses. Conversation records, including transcripts and outcome data, are retained for 60 days to power your organisation's usage reporting, then deleted. Full call audio may additionally be retained for the same period during active service delivery.
1.2 Automatically Collected Data
- Usage Data: Aggregated, anonymised metrics (call duration, query types).
- Technical Data: IP address, device type (for security/performance).
- Twilio Metadata: Call timestamps, duration, phone numbers (see Twilio Privacy Policy).
1.3 Subprocessors
Provider: ElevenLabs
Purpose: Voice synthesis
Data Processed: Voice audio, text prompts
Region: US (EU processing available)
Provider: Twilio
Purpose: Telephony
Data Processed: Phone numbers, call metadata
Region: Global (UK/EU routing available)
All subprocessors are bound by GDPR-compliant Data Processing Agreements.
2. How We Use Your Information
We use data to:
- Deliver real-time AI responses.
- Retrieve knowledge from your documents.
- Improve Service performance (using anonymised, aggregated data only).
- Monitor security threats.
We do NOT:
- Use your data to train public AI models.
- Sell your personal data.
3. Data Sharing
We share data only with:
- Subprocessors (ElevenLabs, Twilio) under DPAs.
- Your Organisation (usage reports for internal monitoring).
- Authorities if legally required.
4. International Transfers
Data may be processed in the United States by our subprocessor ElevenLabs. This is covered by Standard Contractual Clauses, incorporated directly into our agreement with them, providing a recognised legal safeguard for the transfer.
Enterprise Clients may request UK/EU-only data residency — contact us to discuss.
5. Data Retention
- Conversations: Retained for 60 days from the conversation date, then deleted.
- Account Data: Kept for account duration + legal compliance period.
- Knowledge Base: Deleted from active use upon contract termination. Full deletion timelines depend on our subprocessors retention settings, details available on request.
- Analytics: Aggregated, anonymised data retained indefinitely.
6. Your Rights
Under UK GDPR, you have the right to:
- Access, correct, or delete your personal data.
- Restrict processing or object to use.
- Data portability.

7. Security
We implement:
- Encryption in transit (TLS 1.3) and at rest.
- Access controls and regular security testing.
- Employee data protection training.
8. Telecoms Compliance
All calls/SMS comply with the UK Communications Act 2003. Clients must ensure AI-initiated calls display a valid, identifiable caller ID registered to their organisation.
